How MailShrine is priced today (updated October 2026): MailShrine is an email suite, not a single flat-fee product. Live: Email Marketing, Business Email, AI Email Lead Generator, Email Sanitization (200 credits per month, refilled every month), and Developer API — Live. In development: Email Automation only. Email Marketing, Email Lead Generator, and Developer API use pay-as-you-go credits (1 credit = 1 email, harvested lead, or API send), with monthly Email Marketing options. Stored contacts do not raise the bill. Business Email is billed by mailbox. Products and plans are differentiated — not every feature lives on every plan. Confirm live packs on Pricing.
Microsoft Outlook and Outlook.com are the second most-used email platforms in the world, and they come with a reputation system that is both powerful and unforgiving. Send bulk emails without the right setup, and Microsoft will suspend your account within hours. Do it right, and you will have access to one of the most trusted sending platforms available — especially for reaching corporate professionals and B2B contacts.
This guide covers everything you need to know to send bulk emails from Outlook safely, compliantly, and with a better chance of inbox placement. Placement is never guaranteed — you still control list quality, authentication, and send path.
Why Outlook Is Worth Using for Bulk Email
Before we get into the how, let us address the why. With Gmail dominating consumer inboxes, many senders overlook Outlook. That is a strategic mistake.
Key reasons to use Outlook for bulk outreach:
- B2B dominance: The majority of corporate employees — especially in enterprise, finance, government, and healthcare sectors — use Microsoft 365 email. If your targets are business professionals, Outlook is where they live.
- Inbox-to-inbox advantage: Emails sent from an Outlook/Microsoft 365 account to a recipient with an Outlook/Microsoft 365 inbox typically have 15–20% better inbox placement than sending from Gmail to Outlook (industry placement tests — not a MailShrine guarantee).
- Higher daily limits for business: Microsoft 365 business accounts support up to 10,000 recipient addresses per day — significantly higher than Google Workspace's 2,000.
- Enterprise trust signals: Microsoft's sender verification system is respected by corporate IT departments. A properly configured Microsoft 365 account sends strong trust signals.

Understanding Outlook's Sending Limits
Before anything else, know the exact limits you are working within:
Free Outlook.com / Hotmail Accounts
- Daily limit: 300 emails to unique recipients
- Recipients per message: 500 max (To + CC + BCC combined)
- Hourly throttle: Approximately 30–60 per hour for newer accounts
- New account limit: As low as 50–100/day until trust is established
Microsoft 365 Business Accounts
- Daily recipient limit: 10,000 per day
- Recipients per single message: 500
- Send rate: 30 messages per minute
- Bounce threshold: Exceed 5% bounce rate and Microsoft begins throttling
Important: These are maximum limits, not guaranteed allowances. Microsoft's SmartScreen system can apply real-time lower limits based on your sender reputation, sending patterns, and complaint rates — regardless of what your account tier nominally allows.

Step-by-Step: The Safe Bulk Email Setup for Outlook
Step 1: Use Microsoft 365 Business, Not Outlook.com Free
Free Outlook.com accounts were not designed for bulk sending. Their 300/day limit, aggressive throttling, and lack of advanced sender controls make them unsuitable for any serious outreach campaign.
A Microsoft 365 Business Basic plan ($6/user/month as of 2026) gives you full control over:
- Custom domain authentication (SPF, DKIM, DMARC)
- Exchange Admin Center access
- Compliance and audit reporting
- Microsoft Defender for Office 365 threat intelligence
Step 2: Configure SPF, DKIM, and DMARC for Your Domain
Go to your DNS provider and add:
SPF record: v=spf1 include:spf.protection.outlook.com -all
DKIM: Enable DKIM signing in the Microsoft 365 Admin Center under Settings > Domains > DKIM. Microsoft generates the keys automatically.
DMARC record: v=DMARC1; p=quarantine; pct=100; rua=mailto:dmarc@yourdomain.com
Verify all three using Microsoft's Remote Connectivity Analyzer or MXToolbox.
Step 3: Warm Up Your Account and Domain
Microsoft's SmartScreen is particularly sensitive to sudden behavioral changes. A new account or domain that sends 500 emails on day one will be flagged immediately.
Recommended warm-up schedule for Microsoft 365:
- Week 1: 30–50 emails/day to opted-in contacts
- Week 2: 100–150/day
- Week 3: 300–400/day
- Week 4: 700–1,000/day
- Month 2: Scale toward your target volume
MailShrine does not currently include an automated warm-up network. Run this schedule yourself when you send campaigns from a connected Microsoft inbox or MailShrine Cloud, or use a third-party warm-up tool if you need a network.
Step 4: Register Your IP with Microsoft SNDS
Microsoft's Smart Network Data Services (SNDS) is a free tool that lets you monitor the reputation of your sending IP address directly on Microsoft's end.
Register at https://sendersupport.olc.protection.outlook.com/snds/
Once registered, you will see:
- Your complaint rate (keep below 0.3%)
- Spam trap hits
- Sending volume data
If your SNDS shows "Red" status for your IP, stop sending immediately. This means Microsoft has flagged your IP as a significant spam source.
Step 5: Space Your Sends — Never Blast All at Once
Sending 500 emails in 10 minutes is a clear automated bulk-sending signal. Microsoft's filters are specifically tuned to detect this pattern.
Best practice: Spread sends with 60–120 second intervals between messages, randomized to appear natural. MailShrine Email Marketing lets you compose and schedule campaigns; you still choose a pace that stays inside Microsoft's limits.
Step 6: Manage Bounces and Unsubscribes Aggressively
Microsoft has a Restricted Entities List — if your bounce rate or complaint rate triggers their system, your account domain gets added to this list and is blocked from sending external email entirely.
To avoid this:
- Validate your list before every send (use ZeroBounce or NeverBounce — MailShrine does not natively sanitize lists)
- Remove hard bounces from your list immediately after they occur
- Process unsubscribes within 24 hours — legally required in the EU, UK, US, and many other jurisdictions. MailShrine campaigns support unsubscribe / one-click opt-out and suppression
- Never send to a contact who has marked your email as spam
Step 7: Use Microsoft's Junk Mail Reporting Program (JMRP)
Microsoft offers a Junk Mail Reporting Program (JMRP) that sends you feedback loop notifications when a recipient marks your email as junk/spam.
Register at https://sendersupport.olc.protection.outlook.com/pm/
This allows you to identify which specific recipients are marking your emails as spam, so you can remove them from your list immediately and prevent further reputation damage.

The Content Rules for Outlook Bulk Email
Microsoft's SmartScreen content analysis is different from Gmail's. Here is what specifically triggers Outlook's filters:
Things Outlook's SmartScreen Flags
- Emails with only one large image and no text (common in promotional newsletters)
- URLs that redirect through multiple domains before reaching the final destination
- Subject lines with ALL CAPS or excessive punctuation ("SALE!!! DON'T MISS OUT!!!")
- Mismatched "From" display name and actual sending address
- Emails with no plain-text alternative (always include a text/plain MIME part)
Content That Performs Best
- Emails with a good text-to-image ratio (at least 60% text)
- Professional, corporate language (matches the enterprise audience that uses Outlook)
- Clear identified sender information — company name, physical address
- A clean HTML structure validated with Email on Acid
Real-World Example: B2B Agency Success with Outlook
A British HR tech company used Microsoft 365 through MailShrine Email Marketing to run a 90-day outreach campaign targeting HR Directors at FTSE 250 companies — all of whom used corporate Microsoft 365 email addresses.
Campaign setup:
- 8 Microsoft 365 accounts across 4 custom domains
- Campaigns scheduled from a connected Microsoft send path (and Cloud where they wanted hosted tracking)
- Volume ramped manually over the first four weeks — no MailShrine warm-up engine
- Personalized plain-text emails referencing specific company hiring challenges
- 90-second intervals between sends
Results after 90 days:
- Strong Outlook-to-Outlook placement on that list (they measured with seed tests — not a product-wide 96% guarantee)
- Reply rate: 8.4% (industry average for B2B cold email: 2–4%)
- No account suspensions on those eight mailboxes while they stayed inside Microsoft's limits
The key was the inbox-to-inbox advantage plus a clean list. Sending from Microsoft to Microsoft recipients removed an enormous friction point from the deliverability equation.
How MailShrine Email Marketing Fits Outlook Bulk Email
Managing the above still requires sender discipline. MailShrine Email Marketing is the campaign layer:
Connect a Microsoft inbox — or use Cloud
Connect a Microsoft account and send list campaigns from that mailbox, or send from MailShrine Cloud with a verified domain. Credits are 1:1 with emails sent. Unused credits do not expire. Stored contacts do not raise the bill.
You choose the send path
If most recipients are on Outlook, Hotmail, or Microsoft 365, connecting a Microsoft inbox can improve placement odds. MailShrine does not automatically detect every Outlook address and force-route it through Outlook.
No automated warm-up engine
Follow the four-week schedule above on whichever path you use. Third-party warm-up networks (Lemwarm, Instantly) remain an option if you want a dedicated pool.
Monitor bounces yourself
Watch campaign bounce data and Microsoft SNDS. MailShrine does not currently integrate SNDS or promise zero suspensions.
Frequently Asked Questions
Can I send bulk emails from the Outlook desktop app?
For small volumes (under 50), yes. For anything larger, you need to use a proper email campaign tool connected to your Microsoft 365 account via Microsoft Graph API or SMTP. Using the Outlook desktop app for bulk sends triggers rate limiting and reputation damage.
Does using Microsoft 365 guarantee inbox delivery?
No. Your domain's reputation, SPF/DKIM/DMARC setup, list quality, send patterns, and content all determine inbox placement. Microsoft 365 gives you the infrastructure — you still need to use it correctly.
What is the difference between Outlook.com and Microsoft 365?
Outlook.com is Microsoft's free webmail service (@outlook.com, @hotmail.com). Microsoft 365 is the paid business platform that gives you a custom domain, higher sending limits, and enterprise compliance features.
Can I use Outlook for marketing newsletters AND cold outreach simultaneously?
It is strongly recommended to use different accounts or domains for each. Marketing newsletters (opt-in) and cold outreach (unsolicited) have very different complaint profiles. Mixing them on the same account puts your entire reputation at risk.
